Singapore: separate procurement from the final destination

If your Singapore team purchases for a plant elsewhere, provide both the buying entity and the actual receiving site. Include the delivery postal code, receiving contact and part-label requirements. Ask for the quote to distinguish the destination used for freight planning from the address used for commercial correspondence.

Malaysia: identify the exact receiving state and site

Provide the state, city and postcode rather than only “Malaysia”. Specify whether the receiving location is in Peninsular Malaysia, Sabah or Sarawak so that the delivery scope can be reviewed accurately. Include the consignee and any receiving-site packing or label instructions with the drawing.

Thailand: align the drawing with purchasing notes

Submit a controlled English or Chinese technical package for review. If the original drawing contains Thai notes, attach an agreed translation and identify the governing version. List the province, postcode and recipient, and separate engineering acceptance criteria from purchasing and delivery instructions.

Vietnam: name the receiving factory, not only the city

Include the full receiving-factory address, industrial-park details when applicable, consignee and contact. Keep the material grade, surface treatment and dimensional requirements explicit. Ask the quotation to list the inspection and material documents needed by your receiving team before approving production.

Indonesia: include island and city information

For an Indonesian destination, identify the island, city, postcode and actual receiving company. Separate any sample-shipment request from the planned production shipment. Provide packaging, part-number labels and document requirements early so that the destination and shipment scope are not inferred from a national address alone.

Philippines: distinguish sample and production destinations

State the city or municipality, province, postcode and consignee. If prototypes go to an engineering office and production parts to another site, give both destinations with their quantities. Confirm the agreed inspection documents, protective packing and receiving contact for each shipment.

Start with the drawing revision, material grade, condition, threads, critical dimensions, surface finish and quantities. Confirm any proposed substitution in writing. Request the currency, freight scope, delivery term and named destination in the quotation.
